  • How to get started with Mobile app?

    Please make sure you have completed the process of reset password before getting here.

    1. Go to your play store/ google store, key in Kakitangan.com to find us :)
    2. You will reach the 2nd screen after you open up the app, key in your email address and password.



    What can I get from my dashboard?

    After you successful login, here is your first screen, you will find a "home" icon at the bottom of the app - This is your Dashboard.

    Interesting part of the Dashboard -

    1. Claims - the total amount of pending, paid, approved, rejected expense claims.
    2. Leave - the total number of leave balance you have on each leave types.
    3. Who's on leave - filter by today, week and month.



    How to apply leave on mobile app?

    Go to the 2nd icon "Calendar", you will be able to swap between months and visible to the public holidays of each month.

    1. Click on the "+" sign to apply leave,

    2. You will come to below screen, take the steps below to complete your leave application.

    A. Click on it, you will find a list of leave types, select one.
    B. Click on it to see a complete calendar, select start date and end date.
    C. Select a leave length: Full day, AM (Morning Half Day) or PM (Afternoon Half Day).
    D. Upload a supporting document/image.
    E. Put a brief note to inform your reporting manager.
    F. Once confirm, click on Apply.

    3. Lastly, you will find your leave application on the calendar below. You may see the application status here as well.



    How to submit claims on mobile app?

    1. At the bottom of the app, 3rd icon "Cash bill", this is the claims module. Click on the "+" sign to submit new claims,

    2. You will come to below screen, take the steps below to complete your claims submission.

    A. Click on it, you will find a list of category, select one.
    B. Click on it to see a complete calendar, select the date of transaction.
    C. Key in the receipt amount.
    D. Tick if the receipt amount includes SST.
    E. Key in the receipt number if available.
    F. Put a note to inform your reporting manager.
    G. Upload a supporting document/image.
    H. Once confirm, click on Submit claim.


    3. Lastly, you will find your claim submission and the status here.



    How to clock in on mobile app?

    Go to the 4th icon "Clock", this is Hadir - Time and Attendance module. If you are an existing user, you will notice on the mobile app - A brand new look on clock-in page [New release by 12th Feb,2021]

    Clock in without shift selection

    (not mandatory to clock-in with a shift)
    This is the existing clock-in method but with a brand new look. Check out the details,

    1. Clock-in status
    • Red - Out of clock
    • Green - On the clock
    1. Clock-in button

    You will be asked to select either Clock-in or Overtime Clock-in. Please select one, and the system will auto-detect you're clocking for which shift based on the time and the location you are currently at.

    1. Shifts details

    Now, you are visible to shifts that are assigned to you. You will see the necessary info on the box and tap into View shift details to find out more.

    1. Current location

    The google map will show you the current location of yours. (if you think it doesn't pin at the right location, please refresh the page)

    1. Refresh button

    Please hit the Refresh button when you find the details of shift might not be updated or the clock-in status is not right. Sometimes, the device remembers the last activity of yours which may not be your current status or activity.

    1. Your name

    We would love to greet you when you come to this page and it's a cross check for you to make sure you are clocking-in with your own account.

    Note: Steps after clocking-in, please refer to below starting from third screen onwards.


    Clock in with shift selection

    (Mandatory to clock-in with a shift)
    This is the new clock-in method, you will need to check on the shift assigned box and select one (if they are more than ONE shifts assigned to you on the day) to proceed with clock-in.

    1. Clock-in status
    • Red - Out of clock
    • Green - On the clock
    1. Shifts assigned to you

    Now, you are visible to shifts that are assigned to you. You will see the necessary info on the box and tap into Clock In to this shift to find out more.

    Note: You may have more than ONE shifts assigned to you, if you are unsure which one to clock-in to for the day, may check with your superior/admin.

    1. Swipe

    You can swipe to the left and see what are the other shifts that being assigned to you.

    1. Clock in to this shift

    You will be asked to select either Clock-in or Overtime Clock-in. After you click on it, you will find more clock-in details.

    1. Current location

    The google map will show you the current location of yours. (if you think it doesn't pin at the right location, please refresh the page)

    1. Refresh button

    1. Your name

    After clocking in

    This is the second screen you see after you click on the clock-in into this shift button. There are options for clock-in, normal clock-in and overtime clock-in.

    1. Notice
      It tells you
    • The length of the shift start time as compared to the current time.
    • The distance of the designated location as compared to the current location.
    • You can zoom in/out, it works like your general google map.
    • You can remove this notice by hitting the "x".
    1. Designated location

    The location has been set by your admin particularly for this shift.

    1. Current location

    You can see the blue arrow pointer, it tells you the current location you are at. Looking at the whole map, you can tell if you are at the right location to clock-in.

    1. Clock in to this shift

    This is your second time to see this clock-in button and yes, you need to click on this button to proceed with your clock-in. Reason why? You may find it troublesome but it is to ensure you know the exact location you are at and know where you are supposed to do the clocking.

    This is the third screen (if taking a selfie is mandatory for this shift), you must take a selfie in order to complete your clock-in.


    Start Break & Clock out

    This is the last screen, after your selfie has taken. Your selfie image is here, you will see your clock-in status turns green along with the clock-in statistics under the box.
    You may click on start break when you are on a break during middle of the work.
    After you are done for the day, you can click on Take selfie & clock out button (if taking a selfie to clock out is mandatory for this shift) to proceed with clock out.

    Quick tip: Break time should be determined by your reporting manager, you may refer to he/she before you click on it.

    This is the last screen (if taking a selfie is NOT mandatory for this shift), you will see your clock-in status turns green along with the clock-in statistics under the box. After you are done for the day, you can click on clock-out button to proceed with clock out.


    What happen if you see other than above?

    Scenario A (mandatory to clock in with a shift): Could not clock in/out

    When you come to this screen, it simply means that you are clocking in too early (outside your shift time, at least 30mins before the shift starts). You will need to wait at least 30mins before the shift starts to proceed with the clock-in.

    Scenario B (Not mandatory to clock in with a shift): Clock In Too Early

    When you come to this screen, it simply means that you are clocking in too early (outside your shift time, at least 30mins before the shift starts). The system will record your attendance for this time, but you are advised to notify your admin to validate this clock-in.

    Note: If you intend to clock in earlier for OT purpose, you are advised to discuss with your superior/admin in advance to ensure the early clock-in hour(s) gets recorded correctly which it will affect your attendance pay at the end of the month.

    Scenario C : Clock In Out of Range

    When you come to this screen, it simply means that your clock-in location does not match with the shift location that your admin had set. If you have doubt on the pre-set location, you may take a screenshot and refer back to your admin so you know what to do next time to avoid this situation.

    Scenario D : No clock-in button

    When you come to this screen, it simply means that you have no shifts assigned to you today. If you think otherwise, please take a screenshot and refer this to your admin.

    2. Go to the last icon "Setting", you may log out from here. You may also contact kakitangan support from here via email and check on the latest version of this mobile app so when you submit a request or query, you can refer the info here.
